Important Update for Training Providers

Skills Development Notifications

Notifying us of a New Training Event.

  • 4 Weeks Notice.

All notifications must be submitted with a minimum of 4 weeks’ notice before the training event start date. Too short notice and the notification will be returned and not processed.

If due to exceptional circumstances a course needs to be run within 4 weeks, please email us immediately to discuss if we can agree to a shortened time frame.

Any ‘last minute’ notifications without prior authorisation in writing from FFF will be returned and not processed.

  • 3 Month Restriction.

We will no longer be able to accept a notification form for a training event that is due to start in more than 3 months time.

For example; A course starting on 1st August 2021 should be notified no sooner than the 1st May 2021.

This is a 3 month rolling window, and notifications received too soon will be returned and not processed. Once within the window you can re-submit these. This is to ensure that funds are distributed fairly throughout the final year of the project and management of this is efficient.

  • Course Date To Be Confirmed

We have started to receive a number of notifications with course date ‘TBC’, these cannot be processed.

Please ensure that a course date has been agreed with the beneficiary before sending a notification form to FFF. Any notification forms received with date TBC will be returned and not processed.

Other Useful Reminders

Notifications - The information within your notification must correspond with a valid training agreement. If the beneficiary does not have the course title listed on their training agreement they must contact FFF to amend this before you can notify us.

Purchase Order Numbers - The rule that all beneficiaries must pay a contribution to their training is one set by WG/EU and FFF must ensure this happens.

A reminder to all training providers that it is your responsibility to know the funding is secure before training commences. If you have not received a PO Number before the course takes place then FFF has not secured funding and therefore No payment can be made to the training provider. There will be no exceptions to this going forward.

Evidence - Please send the attendance register or similar proof of attendance and the certification along with your invoice as soon as possible after the event. If you submit an invoice without all required evidence we will reject your invoice until all evidence is submitted together.

Please note: Feedback is no longer required, apart from in the event of a failed assessment or a request for further training is made before an assessment.

All invoices must contain:

PO number, Business ID & Name, Trainee ID & Name and the Course Title. Going forward any invoices received without this information will be returned for correction and not paid.

If you would like to discuss this further, please do not hesitate to contact us by emailing notifications@focusonforestryfirst.co.uk or calling us on 0808 178 2757.
